5. Commercial automation logic

After form submission, the system may trigger an AI call within seconds for initial qualification. If there is no response, an automated multi-channel sequence may start (call, SMS, WhatsApp). The flow ends when there is valid interaction, handoff to human team, or discard due to sustained no-response.

To operate the system, we use first-party infrastructure and technology providers. Providers only access data necessary for service delivery, under confidentiality and security obligations.

  • First-party infrastructure: api.thepiperock.com for form orchestration, automations, CRM sync, and notifications.
  • Automation and CRM: GoHighLevel (GHL), n8n, Notion, Byzz SmartAI.
  • Communication and messaging: Twilio, WhatsApp, Mailchimp, Zapmail.
  • Platforms and analytics: Google, Facebook, Instagram.
  • Payments: Stripe and Square.
  • Technical infrastructure: Hostinger and SQL databases.

This list may be updated due to equivalent operational changes while keeping the same security and data minimization standards.

7. Data retention

We retain data for as long as needed to fulfill the purposes above and legal obligations. Leads with sustained no-response may be marked as discarded and operational processing is limited.
